Kilvin builds custom tools that help practices manage patient workflows and automate reminders and follow-ups. They work alongside the practice software you already use rather than replacing it.
The gap between systems
Your EHR or practice management system handles records and scheduling. The work around it, like onboarding steps, pre-visit prep, post-visit follow-ups, and knowing who's supposed to call whom, usually runs on email, spreadsheets, and memory. That's where patients get missed.
What we build
Patient onboarding and intake trackers
Automated reminders and follow-ups by email and text
Care coordination boards so staff can see what's due and who owns it
Practice dashboards covering no-shows, follow-up completion, and the patient pipeline
Works with what you have
We don't replace your EHR or patient portal. Kilvin sits alongside them and handles the internal workflows and communications those systems weren't built for.
Security

Frequently asked questions
Is Kilvin HIPAA compliant?
Kilvin runs on HIPAA-compliant infrastructure, and we’ll sign a Business Associate Agreement (BAA) for qualified clients. You can review our security practices at trust.kilvin.ai.
Does it work with our practice management system?
It works alongside it. Your team keeps using your EHR or practice management system for records and scheduling. Kilvin handles the work around it: intake steps, reminders, follow-ups, and who owns what. Whether we can pull data directly depends on the system and the access it allows, and we’ll go through that with you up front.
How much training does our staff need?
Very little. The tools are built around how your practice already works, so there’s no new process to learn. We walk your staff through everything at launch. If something is confusing, we change the tool instead of writing a training manual.
